Sample Documents

1. Proforma Invoice

• After the negotiation for every detail of the deal is done during the on-line stage, the buyer will get a document named Proforma Invoice (See Sample) from the Seller, where the stock list, prices, payment terms and shipping details are clearly denoted.

2. Payment

• The buyer is then supposed to do the payment. The amount to be paid and the bank account information of the seller are both stated on the Proforma invoice. In many countries, banks require the submission of Proforma Invoice when conducting the service of foreign transaction to its customers.

3. Shipping

• After the seller confirms that the payment from the buyer is received, the shipping of the related stock should be done as soon as possible (within the time limit agreed by both parties previously).

4. Documents transaction

• After the stock gets on board and the shipping process is initiated, the seller will get the Bill of Lading (see sample )from the shipping company. The original BL should be sent to the buyer by mail as early as possible. The usual list of documents to be sent is as follows: :
• Three copies of original Contract (see sample )
  Three copies of original Commercial Invoice (see sample) & Packing List (see sample)
  Three copies of original Bill of Lading

5.Picking up the stock

• After receiving the documents from the seller, the buyer can go to pick up the stock bought when the vessel arrives in the port. Bill of Lading should be submitted to the shipping company while customs offices in some countries may also require the submission of Commercial Invoices.
